This policy explains how Train Collab Academy (“we”, “us”) collects and uses personal data when you visit traincollab.academy, contact us, subscribe to our newsletter or purchase training. We are the data controller. [Registered company name, number and address.]

Data we collect

  • Enquiry data: name, email, company, country and message when you submit a form.
  • Newsletter data: email address and signup source, confirmed via double opt-in.
  • Customer data: account, enrolment, progress and billing details when you purchase (payments are processed by Stripe; we never see full card numbers).
  • Usage data: aggregated, cookieless analytics via Cloudflare Web Analytics. Google Analytics only with your consent.

Why we use it (lawful bases)

  • To respond to enquiries and provide training: contract or steps prior to a contract.
  • To send newsletters and marketing: consent, which you can withdraw at any time.
  • To secure and improve our services: legitimate interests.
  • To meet tax and accounting obligations: legal obligation.

Processors we use

Cloudflare (hosting, security, analytics), our CRM and email provider [e.g. HubSpot / Brevo], Stripe (payments) and our learning platform provider. Where data is transferred outside the UK/EEA, we rely on adequacy decisions or Standard Contractual Clauses.

Retention

Enquiries: up to 24 months. Customer records: for the duration of the relationship plus 6 years for accounting purposes. Newsletter data: until you unsubscribe.

Your rights

You have the right to access, rectify, erase, restrict or object to processing of your data, the right to data portability, and the right to withdraw consent. Contact privacy@traincollab.academy. You may also complain to your supervisory authority (e.g. the ICO in the UK).
